THE DETAILS MATTER.
Our commitments to the people who learn, attend, and connect with UPA Tickets. These policies apply to the website, our conventions, and our virtual education programs.
PRIVACY POLICY
Unified Pro-Am Association Inc. (“UPA,” “we,” “us”) operates UPA Tickets. This policy explains what we collect, why we use it, how it is shared, and how you can make a request about your information. Use the privacy request form to contact us.
Information we collect
- Information you submit: adult contact name and email, school or organization, selected event or course, requested quantities, vendor category/website/application, support messages, and the policy acknowledgments associated with a submission.
- Registration and purchase records: when paid registration opens, purchaser and attendee details needed to provide admission or learning access; selected passes; order, payment, refund, attendance, and check-in records. We ask only for information needed for the relevant activity.
- Course participation: when a course operates, assignments, assessment and completion records, classroom participation, and any recordings made under the notice and permission arrangements described below.
- Technical information: the hosting and security services that deliver this website may process IP address, browser/device information, request logs, essential cookies, and authentication information. Organizer access uses the hosting platform's sign-in service.
Event-interest forms submit adult contact details and pass selections without attendee names. Paid registration submits the purchaser and named attendee/learner details needed for fulfillment. Vendor applications, course-interest registrations, and contact requests are submitted only when their respective form is sent. Confirmation links use private access tokens; keep them confidential. Essential checkout cookies and browser session storage can retain a checkout access token so payment verification can resume after bank authentication. The checkout cookie is restricted to this site, marked Secure and HttpOnly, and expires after two hours. Do not put payment-card details, passwords, government ID documents, sensitive medical information, or private student records in a message.
How we use information
We use information to respond to requests; assess vendor applications; administer course interest, registration, admissions, learning activities, and payments; communicate essential service information; provide support and accessibility coordination; prevent misuse; maintain financial and operational records; and meet applicable obligations. A business or course inquiry is not consent to unrelated advertising. Any optional promotional subscription will have its own choice and an unsubscribe method.
Service providers and other recipients
We use website hosting, database, authentication, security, and operational service providers to deliver the service. Stripe processes payments; we do not collect or store full card numbers or card security codes. Classroom, communications, or other providers will receive only the information needed for the services they actually provide, under the applicable arrangements and notices.
Authorized staff and instructors receive information relevant to their work. We may disclose information where reasonably needed to comply with law, address fraud/security incidents, protect people, or carry out a business transfer subject to appropriate privacy protections. We do not sell personal information, share it for cross-context behavioral advertising, or provide student contact lists to vendors. Voluntary introductions to a vendor or another attendee require your own choice and any appropriate guardian or school permission.
Retention and security
We retain information only as reasonably needed for its purpose, including an active inquiry or application, the event/course lifecycle, support and refund handling, recordkeeping obligations, dispute resolution, and security. The period depends on the record type, relationship, applicable legal requirements, and whether a request or dispute remains open. Information is deleted or de-identified when it is no longer needed, subject to legitimate retention requirements and the secure lifecycle of backups.
We use access restrictions and reasonable technical and organizational safeguards. No system can guarantee absolute security. Please submit only the information requested and contact us if you suspect a problem.
Your choices and requests
You can request access, correction, deletion, or an explanation of our handling of your information through Contact & requests. Depending on applicable law, additional rights may include a portable copy, limits on certain processing, an appeal, or an authorized-agent request. We may need proportionate verification before disclosing, changing, or deleting a record. We will explain any lawful reason we cannot fully fulfill a request and respond within applicable time limits. We do not discriminate for exercising a privacy right.
Our current site does not use advertising or cross-site behavioral tracking. Browser “Do Not Track” settings do not change a tracking profile because we do not create one. We respect legally applicable opt-out preference signals for any processing to which they apply.
Children and school groups
Online inquiries and purchases must be submitted by an adult 18 or older. We do not request personal information from children under 13 through these public forms. A parent, guardian, or school representative seeking arrangements for a younger child should contact us using the adult's details before sharing any child information. We will establish any required permissions and safeguards before collecting such information. Adult involvement does not replace any consent required by law. If you believe a child has provided information without the appropriate process, submit a privacy request.
External services and policy updates
Hotel links and other external sites have their own terms and privacy practices. Our services are operated from the United States; providers may process information in other locations subject to applicable safeguards. We update this policy when practices change and display the effective date here. Material changes receive an appropriate notice. A change does not retroactively remove rights or permit a materially different use without any notice or permission required by law.
TERMS & CONDITIONS
These terms govern use of UPA Tickets and transactions with Unified Pro-Am Association Inc.. Product-specific convention, course, vendor, and refund provisions below form part of these terms. Before payment, you must be able to review the specific event/cohort, dates, inclusions, complete payable price, and applicable policies. A later website change does not silently replace the terms accepted for an existing order.
Using the service
Provide accurate information, use the site lawfully, and respect other people and our systems. Do not submit false applications, misuse another person's identity, attempt unauthorized access, distribute malicious content, scrape private information, or interfere with registration or event operations. Purchasers must be adults authorized to make the purchase and, where relevant, register the attendees they represent.
What constitutes a registration
An inquiry, saved application, course-interest submission, unpaid cart, or payment redirect alone does not create an admission or reserved seat. A paid registration requires confirmed payment and an issued registration confirmation. A vendor additionally needs an accepted application and written exhibitor agreement. The registration form identifies whether free interest or paid checkout is currently available. A payment receipt and the issued UPA confirmation are separate from an unpaid interest submission.
Prices and payments
Prices are in U.S. dollars. We do not add a platform booking fee. The advertised UPA price includes mandatory charges and any applicable tax; the final total and any included tax breakdown are shown before payment. Optional extras, if offered, require a separate choice and visible price. Card information is handled by Stripe. A declined, incomplete, or disputed payment may delay access while its status is resolved.
Discounts apply only as described, have no cash value, and do not create a credit for unrelated products. A weekend convention pass covers one person at one city event. Course tuition, convention tickets, travel, hotels, equipment, and vendor participation are separate unless an explicit offer says otherwise.
Content, ownership, and realistic outcomes
Our site branding, original materials, and licensed content are protected by intellectual-property rights. Access grants the limited personal or agreed educational use described for the relevant product. You may not sell, redistribute, or represent our content as your own. Third-party names and links identify their respective owners and do not imply endorsement or a partnership.
We provide introductory education, practical experience, and industry connections. We do not guarantee employment, earnings, recruitment, a scholarship, an internship, a professional credential, academic credit, or accreditation. Confirmed speakers, instructors, activities, and inclusions are described in the applicable offer. Campaign imagery is described in the Conduct & Media policy.
Changes, questions, and rights
We may make reasonable operational changes, but material changes to a paid product are handled under our refund policy and any applicable mandatory rights. UPA is not the seller of independently booked hotel, transportation, or other third-party services. We do not promise reimbursement of independent travel, lost earnings, or other indirect expenses except where required by applicable law or expressly agreed in writing.
Nothing in these policies excludes nonwaivable consumer rights, statutory remedies, or liability that cannot lawfully be excluded. Applicable law governs the transaction and any dispute; legally protected jurisdiction and remedies remain available. Please contact us so we can address a concern. Asking us for help does not shorten a legal deadline or require you to waive a right.
REFUNDS & CANCELLATIONS
These are our voluntary refund commitments in addition to rights that apply by law. Where law gives you a stronger right or requires an earlier refund, that protection takes priority. Submit a request through Refunds & requests using the purchaser's contact details and order reference. Do not send card or bank information.
Convention attendee cancellations
| Request received | Refund of the canceled ticket |
|---|---|
| At least 30 calendar days before the first event day | 100% of the amount paid |
| 14–29 calendar days before the first event day | 50% of the amount paid |
| Fewer than 14 calendar days before the first event day, or a no-show | No discretionary refund |
Convention cutoffs use the calendar date in the event city's local timezone: America/Chicago for Houston and America/Los_Angeles for Los Angeles. The date the request is successfully submitted controls. Amounts are calculated from the price actually paid after discounts, with associated taxes/charges adjusted appropriately. A weekend pass is one product; a voluntary decision to attend only one day does not create a separate unused-day refund. Duplicate or erroneous charges are reviewed separately.
Virtual course withdrawals
| Request received | Refund of tuition paid |
|---|---|
| At least seven calendar days before the first session | 100% |
| From six calendar days before the first session through the end of that first session | 50% |
| After the first session ends, or a no-show without a timely withdrawal | No discretionary refund |
The published cohort schedule and timezone determine course cutoffs. If you pay before the final session schedule and faculty are announced, the pre-enrollment protection below takes priority over the ordinary withdrawal cutoffs. Missing a later session, personal scheduling difficulties, or dissatisfaction with an assessment result does not itself create a refund; reasonable support and any stated makeup process remain available. Provider cancellation, material nonperformance, and mandatory rights are treated separately below.
Advance purchases while details are to be announced
Convention dates and cities are confirmed on the offer, but venues and opening hours are currently TBD. An advance purchaser accepts that the venue will be announced later within the stated city. If the final venue or opening hours make attendance impractical, request a full refund within 14 calendar days after the announcement or at least seven calendar days before the event, whichever deadline is later. This specific protection takes priority over ordinary voluntary cancellation cutoffs.
Course pre-enrollment reserves a place in the January 2027 cohort while exact session times and professional faculty remain to be announced. You may request a full refund until 14 calendar days after the final schedule and faculty announcement or seven calendar days before the first session, whichever is later. If the January cohort cannot be delivered as offered, cancellation and material-change protections also apply. Registering free interest reserves no seat and creates no payment obligation.
If UPA cancels or materially changes an event or course
If we cancel a paid convention or course, we provide a full refund for the canceled purchase, including mandatory charges and applicable tax, without requiring you to accept a credit. If only part of a paid weekend or course is canceled and not reasonably replaced, we offer an appropriate refund for the undelivered portion and any additional remedy required by law.
For a postponement, rescheduled dates, or another material change to a paid purchase, we notify purchasers and offer continued admission/enrollment or a refund. We provide at least 30 calendar days after that notice to request the offered refund, with a longer opportunity where required by law. A move to a different city, a material delivery-format change, or a substantial course-schedule change is reviewed as a material change. Ordinary speaker substitutions, routine room changes within the announced event, and minor running-order adjustments do not automatically cancel the main product, subject to the actual offer and applicable rights.
If a course does not meet its stated minimum enrollment, we offer a full refund or an optional transfer to a separately confirmed cohort. A postponement is not permission to retain payment indefinitely.
Transfers, upgrades, and processing
Request an attendee-name transfer at least 72 hours before a convention begins, or a course-learner substitution at least 48 hours before the first session. The replacement must meet eligibility and consent requirements. The first approved name transfer has no UPA administration charge. Upgrades require available capacity and payment of the disclosed difference; they do not extend the original refund window. Course materials already accessed may not be redistributed to a replacement.
We initiate approved refunds within ten business days, or sooner when required by law, normally to the original payment method. Bank posting times vary. If the original method cannot accept the refund, we arrange a secure alternative without asking for financial details through the public contact form. Ticket or course access associated with a refunded amount is revoked. We do not deduct an undisclosed payment-processing or cancellation fee from a refund promised here.
Vendor refunds follow the accepted exhibitor agreement and the vendor section below. Travel and hotel cancellations are governed by the third-party booking provider's terms. We do not require you to surrender a statutory right to use our support process.
CONVENTION ATTENDANCE
Houston: April 17–18, 2027. Los Angeles: July 17–18, 2027. Both events list Venue TBD — details to be announced. Venue names, addresses, opening hours, and access instructions will be published separately before attendance. Advance purchases retain the special announcement-related full-refund protection above.
Passes and eligibility
Student admission is $25 per day or $40 for the weekend. Educator admission is $100 per day or $160 for the weekend. A day pass covers the selected day only; a weekend pass covers both event days for the same attendee at one city event. Student passes are for enrolled students; educator passes are for teachers, school staff, coaches, administrators, and education-program professionals. We may request reasonable evidence of eligibility at check-in. Other professionals or general attendees should contact us rather than select an inaccurate category.
Admission covers the experiences stated in the event offer. Sessions and demonstrations may have room limits, age restrictions, or advance sign-up requirements; a general pass does not guarantee a place in every session. Meals, travel, hotels, competition entry, personal equipment, and other extras are excluded unless expressly listed. We may require the issued ticket/reference and appropriate identification to validate admission; documents are not uploaded through the public contact form.
Minors and school groups
An adult purchaser is responsible for accurate group details and necessary permissions. Attendees under 18 must have a responsible parent, guardian, or authorized school chaperone attending and supervising them unless UPA has expressly agreed to another arrangement in writing. Adult supervisors need an eligible admission pass unless a written group arrangement says otherwise. UPA staff and exhibitors do not provide childcare or replace school supervision. Arrangements involving children under 13 must be discussed with UPA using adult contact details before sharing child information.
Onsite expectations
Follow staff instructions, the venue's lawful safety rules, posted access restrictions, and the conduct policy. Do not enter restricted production areas, operate equipment without permission, or bring prohibited items. We may refuse or remove access for a material safety or conduct violation, with a proportionate review and any refund/remedy required by law. Venue-specific bag, equipment, accessibility, and re-entry information will be announced before attendance.
VIRTUAL COURSE TERMS
Introduction to Esports Production is a four-week live online program beginning in January 2027. The course includes eight two-hour live sessions (16 scheduled live hours, including short breaks) and approximately eight hours of independent practice. Standard tuition is $299 per learner; the inaugural cohort offer is $249. Convention admission is separate.
Enrollment and access
The initial cohort is for adults 18 and older. The exact start date, session times/timezone, professional faculty, and classroom joining arrangements are to be announced. Paid pre-enrollment is protected by the announcement-related full-refund right above; final details will be provided before teaching begins. The initial sales allocation is 24 learners. UPA will cancel or offer a separately agreed alternative if the cohort cannot operate as offered. Registering interest is free and does not reserve a seat. Access is individual and may not be shared or resold.
Use a compatible computer, headphones/microphone, reliable internet, and the free learner-side tools specified for the cohort. No paid production-software purchase is required for the baseline curriculum. Complete the preflight/test-recording exercise so setup issues can be identified. Tell us about an access need before enrolling where possible; we will discuss reasonable arrangements without requiring sensitive medical details in a public form.
Participation, assignments, and completion
The curriculum covers production roles, planning, OBS fundamentals, signal flow, audio/graphics, remote teamwork, onsite operations, production scale, rehearsals, recovery, and an 8–10-minute simulated broadcast. Instructors are selected for relevant professional experience. Names and teaching assignments will be published once confirmed; no unannounced employer or industry partner is implied.
A completion record requires attendance at six of eight live sessions (or approved equivalent makeups), completion of required artifacts, attributable individual role evidence, at least 70/100 overall and on the capstone, and resolved rights/privacy/safety issues. The assessment weighting is weekly artifacts 20%, individual role demonstration 10%, participation/approved makeups 10%, and capstone 60%. One targeted remediation within 14 days of feedback is available when the instructor identifies a correctable gap. More extensive absences require an agreed support plan; attendance alone does not guarantee completion. Camera-on participation is not a grading requirement.
Our completion record is issued by UPA. It is not an academic degree, college credit, accredited qualification, professional license, third-party certification, internship, or promise of employment.
Recordings, materials, and learner work
We provide notice before recording a session and obtain any permission required for identifiable participant contributions. We aim to keep teaching capture focused on instructors and course content; raise a recording concern before participating so an appropriate alternative can be discussed. Recording availability and access periods will be stated for the cohort rather than assumed.
UPA or its licensors own the teaching materials. Enrolled learners may use the provided templates for their own practice and production planning, but may not resell or redistribute the course or recordings. You retain ownership of your original work. You grant UPA the limited permission needed to receive, assess, and privately display submitted work within the course as explained at submission. Public or promotional use requires separate permission. Use only media you are authorized to use, respect your teammates' rights, protect private information, and do not publicly share classroom access or another learner's work.
VENDOR PARTICIPATION
The $599 vendor package is for one accepted exhibitor at one city's full event weekend. An application is not an acceptance, invoice, or booth reservation, and no payment is due merely to apply.
Before payment, the written exhibitor agreement must confirm the event, allocated space, actual inclusions and exclusions, staff badges, setup/load-in and breakdown, power/internet/furniture arrangements, permitted demonstrations/sales, safety/insurance requirements, and any additional optional services. We do not promise an unconfirmed booth size, audience count, leads, sales, or exclusivity.
Vendors must accurately describe their business, hold permissions for products/content, respect attendees and their data, follow approved activity and safeguarding rules, and obtain consent for any voluntary lead exchange. No access to student contact lists is included. Unauthorized collections, misleading claims, prohibited products, or unsafe demonstrations may result in suspension or removal with a proportionate review.
The accepted agreement controls vendor-specific voluntary cancellation terms only where clearly disclosed before payment. If it is silent, the convention attendee refund timing above applies to a voluntary vendor cancellation. Organizer cancellation/material-change protections and nonwaivable legal rights remain available. Any statement that a vendor deposit is nonrefundable must be explicit in the accepted offer and lawful; an application alone never creates such a deposit.
CONDUCT, PHOTOGRAPHY & MEDIA
We expect respectful, inclusive behavior online and onsite. Harassment, discrimination, threats, bullying, sexual misconduct, cheating in organized activities, deliberate disruption, theft, and unsafe conduct are not acceptable. Respect names/pronouns, personal boundaries, consent, and staff instructions. Reporting a concern in good faith must not lead to retaliation.
For an urgent onsite issue, speak with event staff immediately; use local emergency services when appropriate. For a non-urgent report or follow-up, use Contact & requests. We review reports with reasonable discretion and share information only with people who need it for an appropriate response.
UPA may document public event activity with clear onsite notice. Identifiable interviews, endorsements, featured promotional images, and public use of learner work require appropriate separate permission; minors require the relevant guardian permission. Tell staff or contact us about a media preference so we can discuss practical arrangements. Incidental appearance in a public crowd cannot always be eliminated, subject to applicable rights.
Attendees and vendors must respect other people's recording preferences, avoid photographing private information, and obtain required permissions before recording or publishing another person's identifiable contribution. Commercial filming and access to production/backstage areas require UPA authorization. Website campaign imagery is AI generated and illustrative; it does not depict confirmed instructors, booked venues, or a previous edition of these conventions.
ACCESSIBILITY & SUPPORT
We want our website, events, and teaching to be usable and welcoming. The site is designed with keyboard-operable controls, visible focus states, responsive layouts, readable text, and reduced-motion support. Tell us if you encounter a barrier so we can work toward an appropriate solution.
Use the accessibility request form for a website issue or an event/course access need. Describe the practical assistance requested; do not include a diagnosis, medical record, or other sensitive material. Early contact helps with arrangements, but it does not waive a later request or a legal right. Venue accessibility information and course-specific captioning/material arrangements will be described when those services are confirmed. We do not advertise an unverified venue feature.
Contact submissions are reviewed by the organizer. We aim to acknowledge routine requests within five business days; time-sensitive consumer and privacy requests are handled within applicable deadlines. A form confirmation acknowledges receipt, not approval of a refund, accommodation, admission, or vendor application.
